Virtual Conference Registration

Moving to full online delivery allows us to minimise costs and pass this on to delegates with a substantially reduced registration fee. Please note registration fees have been set to cover hosting/ management fees only (conference organiser, website, technology, online sessions hosts).

Terms and Conditions

By registering to attend the conference, attendees, including speakers, sponsors and exhibitors, agree to the following terms and conditions:

Registration Confirmation

Your completed registration and successful payment will be automatically acknowledged via email with confirmation and tax invoice. If you do not receive an email within 5 minutes, please check your junk mail folder. If another copy is required, please email the Conference Managers at info@aaee2020.com.au. Your registration will only be confirmed upon full payment of fees.

Payment Options

Payment at time of registration is required by credit or debit card.  Accepted credit/debit cards are Visa and MasterCard. Please note that transactions will appear on your statement as ‘Conference Online’, our registration technology provider.

Please contact the Conference Manager, should you require to pay by another method.

Cancellation Policy

All cancellations must be made in writing via email to the Conference Managers.  If cancellation is not received in writing, the registration will not be cancelled and a refund (if applicable) will not be processed.

  • Cancellations received on or after 1 December 2020 are non-refundable, however transfer of registration to another attendee is acceptable.

ALL refunds incur a $27.50 processing fee.

The Conference Hosts and the Conference Managers accept no liability for additional costs incurred by attendees.

Disclaimer

The conference reserves the right to cancel, modify or alter any aspect of the conference venue, schedule and delivery at their sole discretion and without notice.  Neither the Conference Hosts nor the Conference Managers will accept any liability for any loss or inconvenience caused to any party due to such changes.

Recording and Photography

By registering for the conference, all attendees agree to themselves and/or their presentation/s being recorded and/or photographed.  Attendees consent to their images, audio and/or video recordings being reproduced for subsequent use in the media, webcasts, internal and external promotional purposes, advertising and inclusion on websites and social media. Images are shared publicly with open access for use.

Should you not agree to your image, audio and/or video recordings being used for the above purposes, please contact the Conference Managers at least 2 weeks prior to the conference.

Privacy

The Conference Hosts, the Conference Managers and the registration technology provider, Conference Online Pty Ltd, comply with Australian privacy regulations and are committed to protect the right of the individual to privacy of their information.

Your personal information will not be sold to third parties.  If you believe that any information we are holding on you is incorrect or incomplete, please email the Conference Managers who will correct the information. You may also withdraw your consent for use of your information by writing to the Conference Managers.

We require your information to provide you with information regarding the conference and to facilitate your participation in the conference. Information collected in respect of your proposed participation in any aspect of the conference will be used for:

  • Confirming your attendance and participation in the conference;
  • In the Attendee List published for the conference;
  • Provided to organisers of future occurrences of this conference;
  • May be used to provide you with information of other relevant conferences in your area of interest.

The parties who will have access to your information are the Conference Hosts, the Conference Managers, attendees, sponsors and exhibitors and any future organisers of the conference.

By registering to participate in the conference you are giving your consent to the above, for the purposes of compliance. However, you may withdraw your consent at any time by notice in writing to the Conference Managers. You are entitled to access the information held by written application to the Conference Managers.

Code of Conduct

The Conference Hosts and the Conference Managers are committed to providing a conference that is safe and welcoming for all attendees, where all attendees are treated with respect and dignity and are free from discrimination and harassment.

By registering to attend any aspect of the conference, including but not limited to, conference sessions, catering breaks, social events and all communications including email and social media, it is mandatory for all attendees to adhere to the following Code of Conduct:

  • Treat all with respect, dignity, impartiality and courtesy;
  • Respect the privacy of all;
  • Not discriminate in respect of gender, gender orientation or expression, sexual orientation, disability, physical appearance, race, ethnicity, religion or age;
  • Maintain a cooperative and collaborative approach to interpersonal relationships;
  • Ensure that they are not involved in or encourage discrimination against or harassment of any other persons, including other attendees, the Conference Hosts and the Conference Managers;
  • Ensure that their actions are not inhibiting, offensive, disruptive or negative towards other persons, including other attendees, the Conference Hosts and the Conference Managers; and
  • Ensure that they do not support, condone or encourage in any way any protest or potential protest against the conference or its subject matter.

If anyone experiences or becomes aware of any violations, or potential violations of the above Code of Conduct, such instances should be reported to the Conference Hosts or the Conference Managers. All reasonable precautions and endeavours will be used to protect the anonymity of persons reporting violations, or potential violations.

The Conference Hosts and the Conference Managers, at their sole discretion, reserve the right to refuse entry to, or remove from the venue and the conference, at any time, any attendee not adhering to the above Code of Conduct or deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to a refund of any fees paid, or a refund of any travel and accommodation expenses incurred for travel to the conference.  Not only will any offender forfeit their right to attend the conference, they will also forfeit their right to deliver an oral or poster presentation at the conference.
